To backup your data files on outlook you have to copy the Personal Storage Folders which is known as .pst files.

Just get the location of Outlook personal folder data files (.pst) and then get one copy of this file as back up. Here is the default file location for different OS.

Windows XP

C:Documents and Settings%username%Local SettingsApplication DataMicrosoftOutlook
Windows Vista or 7
C:Users%username%AppDataLocalMicrosoftOutlook
NOTE: If you can’t find AppData folder then remove the Don’t show hidden folder setting and check the Show hidden folder option

Copy your .pst file and paste it at other drive or any external device.

Above given location is by default but if you don’t find any file there then you have to first find the right location of that file. To find location follow given below steps.

For Outlook 2003 and 2007

  • Open MS Outlook and from menu bar open Tools menu and click on Options.MS Outlook Tools
  • From opened window click on Mail Setup tab
  • Then click on Data Files buttonOpions Mail Setup
  • From given list select Personal Folders and then click on Open Folder buttonAccount Setting Data files

How to Backup Outlook 2010

  • Open MS Outlook; open File menu and from Info option click on Account SettingFile Info
  • Click on Data Files tab and select Personal Folders and then click on Open File LocationData files
  • After opening this file location you will get one file called Outlook.pst (default name). This file contains all the Outlook folders like Inbox, Outbox, Tasks, Calendar, Deleted Items, Sent Items and User created folders.
  • Now close all the Outlook windows and copy this file and then paste it on other drive.

  • Click on Start button and then click on Control Panel optionControl Penal
  • Find and open Mail option
  • Click on Show Profiles optionShow Profiles
  • Choose related profile and click on Properties
  • Then click on Data Filesproperties
    • Here select Personal Folders and click on Settings option and copy the file locationPersonal Folders
  • Now open My Computer and paste the file location and press enter

It will open file location where your .pst file is saved now you have to just copy it and paste it to other location
 Export .pst file data

If you don’t want to back up your all Outlook data, then you can create custom backup file. In this option you can back up only the data that you want to save. This method is called exporting .pst file data. This can help to save some space of your storage.

Backup MS Outlook 2010

  • Follow given below steps to export data
  • Click on File tab
  • Find Outlook Options window then click on Advanced
  • Now click on Export
  • In the Import and Export Wizard, click on Export to a file, and then click on Next
  • Click on Outlook Data File (.pst), and then click on Next
  • Select the folder that you want to export, and then click on Next
  • Now click on Browse option and then select the location where you want to save the new .pst file
  • In the File Name box, type the name that you want to use for the new .pst file, and then click OK
  • Click Finish

In an earlier version of Outlook

  • Open Outlook
  • From menu bar open File menu then click on Import And Export (If the menu item is not available, move your pointer over the chevrons at the bottom of the menu, and then click on Import and Export)
  • Now click on Export To File option and click on NextExport a File
  • Select Personal Folder File (.pst) and then click on Next
  • Select the folder that you want to export, and then click on Next
  • Now click on Browse option and then select the location where you want to save the new .pst file
    • In the File Name box, type the name that you want to use for the new .pst file, and then click OK
  • Click Finish

  • Now open File > Backup

  • From this box you can see lists of Personal Folders files that will be included in backup
  • In this box Options button is there, open it
  • Here you can set the reminder to take backup, select the files that you want to backup and select the location where you want to save the backup.
  • After setting all the options just click on Save Backup option
